  • Google account data: When a client connects their Google account, we receive limited access tokens required to send emails and interact with specific Google Drive files used in the automation workflow. We do not access personal profile information beyond what is necessary for authentication.

Data collected by Sovicle is used exclusively for the following purposes:

  • Processing and routing business enquiries received by our clients.
  • Sending automated email confirmations and responses on behalf of client businesses.
  • Configuring and maintaining automation workflows.

  • Improving the reliability and performance of our automation systems.

4. Gmail API Usage

Sovicle uses the Gmail API as part of our automation infrastructure. Gmail access is required for automation workflows that send enquiry confirmations and operational emails on behalf of client businesses.

Specifically, the Gmail API is used to:

  • Send automated confirmation emails to individuals who submit enquiries through our clients' systems.
  • Send operational notification emails as part of automated business workflows.
  • The application does not access or read Gmail message content. Access is strictly limited to sending emails as part of automation workflows.

Sovicle accesses Gmail data only to the extent necessary to perform the automation services agreed upon with our clients. We do not use Gmail data for advertising, profiling, or any purpose unrelated to the contracted automation services.

Sovicle does not store Gmail message content. Access is limited strictly to sending emails via the Gmail API as part of automation workflows.

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5. Sheets and Drive API Usage

Sovicle uses the Google Drive API (drive.file scope) to access and manage specific spreadsheet files used for storing enquiry data within automation workflows.

The application only accesses files that are explicitly created or selected for use within the automation system and does not access any other files in the user’s Google Drive.

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

6. Third-Party Services

Sovicle integrates with the following third-party services as part of our automation infrastructure:

  • Google APIs: Including Gmail API for email automation workflows. Usage is governed by Google's Terms of Service and Privacy Policy.
  • Email service providers: For sending automated communications on behalf of client businesses.
  • Hosting providers: For hosting automation infrastructure and client websites.

Sovicle does not sell, rent, or share Google user data with third parties except as necessary to provide the automation services described in this policy.

Google user data is not used to develop, improve, or train generalized artificial intelligence (AI) or machine learning (ML) models.

We ensure that all third-party integrations comply with applicable data protection standards and are used solely for the purpose of delivering our contracted services.

7. Data Security

Sovicle implements appropriate technical and organisational measures to protect the data we process. These measures include:

  • Encrypted data transmission using HTTPS/TLS protocols.
  • Two-Factor Authentication (2FA) is enforced on administrative and backend systems, and secure authentication controls are implemented for all system access to enhance account security and help prevent unauthorized access.
  • Access controls limiting data access to authorized personnel only.
  • Regular review of security practices and infrastructure.

While we take reasonable steps to protect data, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security but are committed to maintaining industry-standard protections.

Google user data is retained only as long as required to maintain the active automation service and is deleted upon disconnection or termination of the service.
